Week 29: Voice-powered assistant, stronger security, and per-location branding

This week brought a wave of scheduling, task, and portal improvements, headlined by a new voice-powered AI Assistant, stronger sign-in and session protections, and per-location branding for booking pages and the client portal.
- AI Assistant: Staff can now dictate notes or hold a live conversation that automatically fills client and appointment details into the right form for review before saving.
- Booking: Appointment forms are streamlined, appointments are now searchable, and practices can offer multiple bookable options per service with Dutch, English, and Romanian translations.
- Branding: Each location can now have its own logo, and the client portal shows a patient's home-location colors and logo.
- Security: Sessions now lock automatically after inactivity, sign-in is more resistant to automated abuse, and uploaded files are encrypted and safety-checked.
Features
- Tasks: A new Tasks area lets admins create, delegate, complete, and track tasks from the dashboard, a header panel, or a dedicated Tasks page, with a resizable panel, clearer ownership filters, and attachments up to 20 MB.
- Calendar: The calendar now supports full events with customizable types, attendees, and organizers, replacing time blocks, and calendar dates are now shown more compactly.
- Category archiving: Document, FAQ, service, and calendar-event-type categories can now be archived and restored without losing anything assigned to them.
- AI Assistant and voice intake: Staff can dictate notes or hold a live AI-assisted conversation that automatically fills client or appointment details into the right form for review before saving.
- Inline history: Client and appointment records now show their custom Timeline history directly on the page, in both the admin portal and the client portal, with per-field access controls.
- Booking and services: Appointment forms are streamlined with automatic duration and pricing, appointments are searchable, and practices can offer multiple bookable options per service with Dutch, English, and Romanian translations.
- Branding: Practices can upload a unique logo for each location, previewed before saving, and the client portal now shows a patient's home-location branding.
- Pricing: The service list now shows per-location price differences, each labeled with the location's own color and name.
- Webhooks: The webhook list is easier to read, with plain-language filters and triggers, location-specific rules, and updated help examples in English, Dutch, and Romanian.
Fixes
- Booking accuracy: Fixed a rare issue where voice-dictated appointment prices could save as €0, removed duplicate "no availability" messages, and made appointment times consistently display in 24-hour format.
- Location branding: A booking page locked to one location now shows that location's own name and logo everywhere, not just its colors.
- Sign-in reliability: Fixed a sign-in loop that could trap practices after their screen locked, and eased an unfair lockout after a single mistyped verification code.
- Tasks: Files attached to a task no longer disappear if the upload fails; they now stay visible with an option to retry or remove them.
- Display corrections: Fixed staff names showing incorrectly in reports, Romanian text and special characters rendering incorrectly, stretched logos in tight spaces, and several minor layout issues across the admin portal.
- History accuracy: Permanently deleting an appointment is now recorded separately from cancelling one, and reopening history no longer briefly shows outdated or duplicate entries.
Security and reliability
- Scheduling protection: Scheduling checks now consistently prevent a staff member from being double-booked across appointments and calendar events.
- Session security: Screens now lock automatically after inactivity, with sensitive information fully removed from view, and long sessions may occasionally require a password re-confirmation.
- Sign-in protection: Sign-in is now more resistant to automated abuse, and sensitive account changes such as two-factor authentication or password updates trigger a clear notification.
- File security: Photos, documents, and attachments are now encrypted before upload and automatically checked for safety before becoming visible.
- Activity history: Activity history entries now consistently respect each person's current permissions and location access, even after a related record is deleted or moved.
- Voice capture: Voice capture sessions are encrypted, restricted to authorized staff, and can be safely recovered if interrupted.
