Week 31: Practice email delivery and clearer profiles

This week's updates focus on giving practices full control over their email communications, alongside clearer calendars, profiles, and safer data handling.

  • Email delivery: Practices can now connect their own email service, see full delivery activity, and get clear diagnostics when something goes wrong.
  • Booking & calendar: The public booking form collects date of birth and address, appointment cards look consistent everywhere, and therapist photos are now larger and easier to see.
  • Branding & naming: Practices can rename "Organization" to match their business, with the change reflected across settings and the booking page.
  • Security: Booking details are encrypted in transit, private photos get extra protection, and account resets now check for identity conflicts before proceeding.

Features

  • Location-based custom fields: Practices with multiple locations can now set custom field values, such as staff biographies, separately for each location.
  • Practice-owned email delivery: Practices can connect their own email sending service so booking confirmations and notifications go out under their own address and branding, with previews, test sends, and delivery activity tracking.
  • More booking details collected: The public booking form now asks for date of birth and address, and it creates a separate record instead of rejecting a booking when two people share an email address.
  • Consistent booking experience: The booking widget, client portal, and booking-management links now share the same options and rules.
  • Custom business naming: Practices can rename "Organization" to match their business, for example "Salon", with the top administrator role now labelled "Owner" by default.
  • Unified profiles and calendar: Client and staff profiles now show consistent names and photos everywhere, and the appointments calendar has a clearer status key and location color cues.
  • Clearer, larger therapist photo: The therapist's photo shown when confirming an appointment is now larger and easier to see across the booking widget, client portal, and admin screens.
  • Simplified email settings: Connection setup, routing, delivery activity, and template previews are now organized into clearer, faster-loading sections, with notes allowed on routing rules.
  • Full delivery activity tracking: Every email sent on a practice's behalf, including contact form submissions, is now recorded and visible.
  • Safer test sends: Sending a test email template now shows a confirmation dialog with the sender and recipient before anything is sent.
  • Finer API data control: Integrations such as a practice website can now be granted access to specific custom fields without exposing the rest of the organization's details.
  • Webhook filters: Practices can now filter and search their webhook configuration list by resource type and event.
  • Administrator access preserved during resets: Existing administrator logins are kept in place when a practice's data is reset.

Fixes

  • Location email routing screens now correctly show inherited organization defaults instead of appearing blank.
  • Archiving an email connection now closes its related issue correctly without suggesting the connection recovered.
  • The booking form now correctly states that a collected address is kept on the client's record.
  • A small number of locations that were missing website availability settings have been automatically restored.
  • Email previews no longer get cut off on mobile widths, and the preview now refreshes automatically when toggling placeholder mode.
  • Administrator two-factor authentication reset emails no longer show unfilled placeholder text.
  • Practice logos now display correctly on emails sent from a specific location, and the logo header background is easier to read.
  • The save action for a verified sender now correctly turns off so already-verified settings cannot be saved again unnecessarily.
  • The website contact form now has more time to complete, reducing failed submissions during busy moments.
  • Appointment dates in the calendar now display correctly for practices in time zones far ahead of UTC.
  • The schedule dashboard no longer reloads its data more often than necessary.
  • Some automated emails and translated screens no longer show raw placeholder text.
  • Dropdown menus now resize to show every option in full.
  • The trading name field, and the Practice and Location tabs, now show the correct labels.
  • A location-specific FAQ answer can now be as long as the general answer it overrides, with input errors shown clearly.
  • Web addresses entered into custom fields are now automatically trimmed of accidental spaces.

Security and reliability

  • Personal information collected during online booking verification is now encrypted while temporarily held.
  • Stored email connection details are better safeguarded against accidental exposure, and sender verification checks now always finish within a fixed time.
  • Appointment-management links are shown as placeholder text during email template previews so real links are never exposed.
  • Weekly and monthly release summary emails now automatically retry and recover if a scheduled send is temporarily interrupted.
  • Access to staff and client photos now goes through an additional permission check, and photo links can no longer be reused or guessed.
  • Resetting a practice's data now checks for identity conflicts across practices before proceeding, preventing accidental loss of administrator access.
  • Internal data-saving operations are more resilient under heavy load, and underlying software components were updated to guard against known security issues.
